Set up HubSpot
Installation
To install the Synthflow AI HubSpot App:
- Log into your HubSpot account.
- Navigate to the Marketplace or App Directory.
- Search for “Synthflow.ai” and click on the app.
- Click the “Install app” button.
- Review the requested permissions and click “Grant access” to authorize the integration.
Configuration
After installation, follow these steps to configure the Synthflow.ai HubSpot App:
- Navigate to Settings > Integrations > Connected Apps in your HubSpot account.
- Find and click on the Synthflow.ai integration.
- Click on “Configure” to set up the integration.
Setting Up Contact Syncing
- In the configuration panel, select which contact lists or properties you want to sync with Synthflow.ai.
- Choose the frequency of contact syncing (e.g., real-time, hourly, daily).
- Map HubSpot contact properties to Synthflow.ai fields to ensure proper data transfer.
Configuring AI Voice agents
- In the Synthflow.ai dashboard (accessed via Single Sign-On from HubSpot), set up your AI voice agents for various tasks:
- Outbound calls
- Inbound call handling
- Appointment scheduling
- Customize the AI’s script and responses based on your business needs.
Setting Up Workflow Automation
- In HubSpot, navigate to Automation > Workflows.
- Create a new workflow or edit an existing one.
- Choose Synthflow’s actions to your workflow, such as “Make AI Phone Call”.
Usage
Initiating Outbound Calls
- In HubSpot, select a contact or list of contacts.
- Choose the “Synthflow.ai Call” action from the contact actions menu.
- Select the appropriate AI voice agent and call script.
- Initiate the call(s).
Handling Inbound Calls
- Inbound calls are automatically routed to the Synthflow.ai voice agent.
- The AI handles the call based on the configured script and can perform actions such as:
- Answering FAQs
- Scheduling appointments
- Routing to human agents when necessary
Viewing Call Logs and Analytics
- In HubSpot, navigate to the contact’s activity timeline to view AI call logs.
- For detailed analytics, use the Synthflow.ai dashboard (accessible via Single Sign-On from HubSpot).
Disconnecting the Integration
To disconnect the Synthflow.ai HubSpot App:
- Go to Settings > Integrations > Connected Apps in your HubSpot account.
- Find the Synthflow.ai integration and click “Disconnect”.
- Confirm the disconnection when prompted.
Note: Disconnecting the app will stop all AI-powered calls and data syncing. Existing data in HubSpot will remain unaffected.
Uninstalling the App
To completely remove the Synthflow.ai HubSpot App:
- Follow the disconnection steps above.
- Go to Settings > Integrations > Connected Apps.
- Find the Synthflow.ai app and click “Uninstall”.
- Confirm the uninstallation when prompted.

How often does Synthflow sync with HubSpot?
By default, syncing occurs every 15 minutes, but you can adjust the cadence in configuration settings to match your workflow.
Can I customize the AI voice agent's script?
Yes. Use the Synthflow dashboard to tailor the agent’s script, responses, and conversation flow so it reflects your brand.
What happens to my data if I uninstall the app?
Uninstalling leaves your HubSpot data intact, but ongoing AI calls and scheduled tasks are canceled immediately. Reconnect Synthflow to resume automations.
