This guide will explain how to set up an assistant quickly from a template.
Quick Assistant setup overview
Currently, the only available preset Assistant is an inbound receptionist.
The Inbound Receptionist preset handles customer service and appointment scheduling with a natural, approachable tone. It assists callers by answering questions, identifying their needs, and directing them to the right service or staff.
This Assistant is fact-based and reliable, ensuring it never fabricates information. It maintains a conversational, professional style to create a smooth experience without sounding robotic.
Capabilities:
- Identify the purpose of the call by asking relevant questions
- Book appointments by collecting caller details and using scheduling tools
- Provide information or assistance, including service inquiries and availability
- Handle specific requests or transfers by routing calls during business hours or offering follow-ups
- Confirm callback details by verifying contact info and noting the reason
- Conclude calls professionally by summarizing next steps and providing relevant info
Step-by-step: Quick assistant setup
1. Click Quick Assistant Setup.
2. Click Inbound Receptionist.
3. Customize your Assistant starting from General Settings:
a. Add the URL of your company's website.
b. Click Scrape Website to automatically extract information from your website (optional).
c. Edit your custom greeting.
d. Choose a male or female voice, then
e. Click Next.
4. If you've previously added a phone number, you can select it here.
a. Select a phone number from the dropdown menu, then
b. Click Next.
c. Add phone numbers in the Phone Numbers portal.
5. If you've previously added actions, you can install them here.
a. Click + Add Action and choose from the list, then
b. Click Next.
c. Add actions in the Actions portal. For assistance, visit How to Create a Send SMS Action.
5. Connect your CRM to import your contacts. If you don't have a CRM:
a. Select Synthflow, then
b. Click Next.
c. Add contacts by importing a CSV file in the Contacts portal. For assistance, visit Import Contacts From CSV.
6. Your Assistant has been set up! To exit, click Finish.
Test your Assistant by calling its assigned number.
