Set up a lead intake and quotes agent

In about two minutes, you’ll have an agent that handles quote requests and sends you every lead with the details you need to follow up.

Enter your business details

Your website tells the agent what you offer and where you work, so it can tell a good lead from a job you don’t take.

  • Use the name callers know you by, not your registered company name. It’s how the agent introduces your business.
  • If Synthflow can’t read your website (some websites block automated visits), you can still continue and add the details yourself in the next step.

Tell it what it should know

The agent only knows what’s on this screen. The better it understands your work, the better the leads it sends you.

  • Greeting: Synthflow writes it from your website, and you can edit it to sound like you. Keep it to a sentence or two, and let callers know they’ve reached the right place for a quote.
  • Business information: start with anything Synthflow says it couldn’t find. Then add what decides whether a job is a good fit: the areas you cover, the jobs you don’t take, and the details you need to prepare a quote.
  • Knowledge base: a document the agent can look things up in during a call, like a binder at the front desk. A price list or service menu works well here. You can upload one PDF, so combine several files into one first.
  • We cover Manassas and anywhere within 30 miles.
  • We don’t do gutters, siding, or solar panel installs.
  • For every quote, ask for the property address, the type of roof, and when they’d like the work done.
  • Roof repairs usually cost between 300and300 and 1,500, depending on the damage.
  • We call every lead back within one business day.
If you’d rather give every quote yourself, add a line such as “Never quote prices. Tell callers we’ll call back with an estimate.” The agent still collects the details.

Choose what happens after a call

Some callers are ready to talk to someone now, and every lead needs a follow-up. This step covers both.

  • Transfer number: use your ring group’s phone number, so callers reach your sales team. It must be different from your main 8x8 number, or callers land back in your phone menu. If you don’t have a spare number, claim one in the 8x8 Admin Console.
  • Post-call email: you can enter one address, so use an inbox your sales team shares. After every call, a summary lands in that inbox with everything needed to call the lead back.

Pick a voice

For many callers, the voice is their first impression of your business, so listen to a few before you decide.

  • Pick a voice and accent that your customers will find familiar.
  • Choose the language most of your callers speak. The agent understands callers in other languages, but it always replies in the language you choose.

Get your agent's phone number

This number connects your 8x8 phone system to your agent. It comes at no extra cost.

Keep this number to yourself
Callers keep dialing your usual 8x8 number, not the agent’s number. Don’t publish the agent’s number on your website or business cards.
